The Estimating Assistant is responsible for distributing bid documents and obtaining bids from selected qualified subcontractors, as well as supporting the Estimator on any tasks required for a complete bid.
1) Reports to the Estimating Coordinator
Attends and participates in the weekly estimating meetings. May also be requested to attend and participate in the following Project Meetings: Turnover Meeting, Mid Construction Meeting, and Close-out Meeting. May provide information and guidance as it pertains to the subcontractor bid solicitation for that project.

• Trade List
• Build project in Building Connected, add subcontractors to ask if they will be bidding.

2) SUBCONTRACTOR RELATIONS
Maintains an accurate and updated database of subcontractors. Works to establish and maintain a positive working relationship with subcontractor representatives and ensures that subcontractors are treated in a fair and impartial manner with respect to the bid process.
3) BID COORDINATION
Works closely with the Estimating Coordinator in planning and prioritizing duties related to subcontractor bid selection, review, and solicitation along with communication of bid results.
Follows up with invited subcontractors to ask if they will be bidding. Leaves technical scope questions to the Estimator.
5) COMPUTER FILES
Maintains electronic files and information in an organized manner.
6) BID PACKAGES
Receives bid documents and verifies completeness of bid packages. Assembles and organizes all material. Scans bid documents into the computer filing system and creates appropriate plan sets.
7) BID PREPARATION
Creates bid bucket with tabs for all anticipated bids. Files original bid documents that are sent or received.
8) BID INVITATIONS
Drafts an invitation to bid with accurate project specific information in a manner that will secure the best results. Distributes invitation to the pre-established selection of subcontractors. Tracks and logs subcontractor responses and follows up as required. Prepares additional invitations as needed.
9) NEW SUBCONTRACTORS
Locates local subcontractors using AGC, Builders Exchange, ABC, ASA, Google, and Blue Book websites. Places phone calls to suppliers to receive local subcontractor referrals.
10) BID ADDENDUMS
Reviews and tracks bid addendums and notes affected trades on project specification sheet. Sends out addendum information to pre-established subcontractors via fax and verifies that subcontractors are aware of and have complied with addendum changes.
11) VALUE ENGINEERING
When requested, assists estimating staff in preparing a list of alternative methods, means, materials, and systems and items that make changes to the project cost but retains the quality and city mandated items. Responsible for distributing and tracking V/E list to subcontractors for additional pricing and other requested information.
12) OTHER DUTIES
Creates plan indexes for projects that include sheet numbers, title of sheets, seal date, block date, and received date. Places new addenda drawings into blueprints and crosses out original sheet numbers and places new sheets on top.
